Inventory Transfers

Transfer inventory between locations

Transfers move stock between your Shopify locations — from a warehouse to a store, or to balance stock across sites. Stock Control uses Shopify's own transfers, so a transfer you start here is the same transfer you see in the Shopify admin, and transfers created in the admin appear here too.

The Transfers Page

Scans › Transfers in the sidebar lists every transfer for your store — open ones first — with where it's going, how much has been received, its shipment and tracking, and its status:

  • Draft — created but not yet ready to ship
  • Ready to ship — approved; nothing has left the origin yet
  • In progress — a shipment is on its way (stock has left the origin and shows as incoming at the destination)
  • Completed — everything received
  • Cancelled

Filter by status, direction and location, or search by name, reference or location. Open a transfer to see its items (requested, shipped, received, remaining), its shipments with tracking links, and any receiving sessions. Changes made in the Shopify admin appear here within a few seconds; Refresh from Shopify forces an update at any time.

Step 1 — Send Stock (at the origin)

At the location the stock is leaving:

  1. Click New transfer (or New Stock Scan → Transfer), choose Transfer out and the destination
  2. Scan each product you're packing; scanning the same product again adds one
  3. Click Commit, optionally entering the carrier, tracking number and tracking link

Commit creates the transfer in Shopify and ships it: a shipment is created and marked in transit, so the stock leaves the origin immediately and the destination sees it as incoming. Tracking details are saved on the shipment in Shopify.

If you'd rather request stock from another location, choose Transfer in instead. That creates the transfer as ready to ship and leaves it to the origin to ship — from the Transfers page here, or from the Shopify admin.

Shipping a Transfer That Was Created Elsewhere

A transfer created in the Shopify admin, or requested with Transfer in, sits in Ready to ship until someone ships it. Open it on the Transfers page and use Ship this transfer: enter tracking if you have it and click Create shipment. Everything still waiting at the origin is shipped in one go.

Step 2 — Receive Stock (at the destination)

When the shipment arrives:

  1. Open the transfer on the Transfers page and click Receive (or use New Stock Scan → Receive → From Transfer)
  2. The items on the shipment are loaded as the expected list
  3. Scan each item as you unpack it
  4. Click Commit

Received quantities are recorded against the shipment in Shopify, which adds the stock to the destination and completes the transfer once everything has been received. If you leave a receiving session part-way, Resume receiving on the transfer takes you back to it.

Handling Discrepancies

What arrives doesn't always match what was sent:

  • Missing items — receive only what arrived; the transfer stays in progress with the remainder outstanding, and you can receive the rest later or investigate the shortage
  • Extra items — check them against the shipment before adding anything that wasn't sent
  • Damaged items — receive only the undamaged units

The app records exactly what you scan, so inventory at both locations stays accurate whatever happened in transit.

Cancelling

A transfer that hasn't shipped (draft or ready to ship) can be cancelled from its page. Once a shipment is in transit, cancel it from the Shopify admin so the stock is returned to the origin correctly.

If the Page Asks for Permissions

Shopify added transfer permissions after some stores installed the app. If yours is one of them, the Transfers page shows a banner with a Grant permissions button instead of your transfers. Click it, approve the permissions in the Shopify dialog that opens, and the page reloads and imports every transfer in your store within a minute. Until then Shopify refuses transfer requests, so nothing can be created or received here.

Tips

  • Give transfers a clear name that includes the source, destination and date
  • Enter tracking when you ship — the receiving location can follow the parcel from the transfer page
  • Receive as soon as the shipment arrives; long-open transfers are harder to reconcile
