Order This Week
What to order, from whom and how much — and turning it into purchase orders
Stock Control's home screen answers one question every time you open it: what should I order this week, from whom, and how much? Every item that won't last until your next delivery is listed under its supplier with a suggested quantity, and one click turns the list into draft purchase orders.
At a Glance
The strip at the top of the home screen sums the list up: how many items to order and what they will cost, how many are out now (losing sales today), how many won't last until delivery even if you order today, and how many units are already on their way on purchase orders and transfers. Each item's row shows a runway bar — how much of its cover window today's stock still fills — red when out, amber when it will run out before a delivery can arrive.
Your Order Rhythm
Stock you order today has to last until the order after it arrives, so two numbers decide how much to buy: how often you place orders (weekly, every two weeks or monthly) and your typical supplier lead time. Both start with sensible defaults (weekly, 14 days) and live in Settings > Forecasting; set a different lead time per supplier on the Suppliers page for more accurate numbers.
How Each Quantity Is Worked Out
Click Why? next to any item to see the arithmetic behind its number:
- Sales per day — the last 30 days of orders, with a note on whether the last week is trending up or down
- Days of cover — lead time + days until your next order + safety stock
- Target — sales per day × days of cover
- Already covered — what's on hand, incoming on Shopify transfers, and on open purchase orders in the app is subtracted
- Rounding — the result is rounded up to the supplier's pack size and never goes below their minimum per item
Items with no sales in the last 30 days, items you've excluded from alerts, untracked items and archived products are never recommended.
Creating Purchase Orders
Untick anything you don't want, change any quantity, choose where the stock should be delivered if you have more than one location, then click Create purchase orders. You get one draft purchase order per supplier, with your cost price on every line. Items already on an open purchase order count as covered, so they drop off the list straight away.
Suppliers, Packs and Minimums
Items without a supplier are grouped under No supplier yet. Click Use Shopify vendors as suppliers to create a supplier for each product vendor and link every unlinked item to it in one step; links you've made yourself are never changed. On each supplier you can set:
- Lead time and Safety stock — used instead of your account defaults
- Pack size — quantities are rounded up to whole packs
- Minimum per item — the smallest quantity the supplier accepts for one item
Sending the Order
Open a draft purchase order and use Download PDF or Download CSV in the Send to supplier section, then email or upload it to your supplier. Mark the order as ordered once it's sent. When the delivery arrives, receive it by scanning — on-hand goes up and the order closes.
Keeping the Numbers Honest
Recommendations are only as good as your on-hand numbers. Below the list, the app shows how many items with stock or sales haven't been counted in 90 days and offers to count the best sellers among them. One click starts an inventory count of exactly those items at the location you choose.
Every Monday
The weekly digest email now leads with this week's orders, grouped by supplier, with a link straight back to the list.
